Set and Break Down Your Budget

Your budget should be one of the first items on the checklist. Break it down into categories such as venue, catering, entertainment, décor, photography, transport, invitations and contingency. Keeping your budget visible throughout the planning process helps you stay in control.

Choose and Book Your Venue

Before confirming, check capacity, availability, access, parking, facilities, licences and what is included in the hire price. Some venues provide tables, chairs, staff or sound systems, while others require you to arrange these separately.

Organise Your Suppliers

Once the venue is booked, focus on suppliers. This may include caterers, entertainers, DJs, florists, photographers, decorators, event staff, equipment hire companies or transport providers. Keep all supplier contact details, costs and arrival times in one place.

Send Invitations and Track RSVPs

Invitations should be sent with enough notice for guests to plan ahead. For formal events, send them earlier. For smaller parties, digital invitations may be enough. Always track RSVPs so you can confirm final numbers with your venue and caterers.

Finalise the Running Order

As the event gets closer, finalise the running order. Include arrival times, setup, guest arrival, food service, speeches, entertainment and clear-up. Share this with suppliers and anyone helping on the day.
